Negotiation Buddy is operated by SIMARA AI Limited, registered in England and Wales (company number 16329175). Our registered office is 128 City Road, London, England, EC1V 2NX, United Kingdom.
Who is responsible for your information
SIMARA AI Limited is the data controller for Negotiation Buddy at negotiationbuddy.simara.ai. For privacy questions or requests, email hello@vedara.me or write to our registered office. Our shared product support team can also help at support@vedara.me.
Information we use
- Account information, including your email, authentication details and account settings.
- Content you submit, such as practice messages, custom scenarios, deal details and feedback. We also store AI replies, scores, coaching profiles, conversation summaries and strategies so you can return to them.
- Billing information, including Stripe customer and checkout references, subscription status and remaining session credits. Card details are entered into Stripe Checkout; our app does not store your full card number.
- Technical and service records, including request times, errors, model usage and costs, and events needed to provide sessions, manage access and reconcile payments.
- Optional usage information, if you allow analytics, such as public page visits and actions including viewing a report or choosing an upgrade.
Voice typing runs on your device. The resulting text is sent when you submit a message. Avoid including passwords, payment-card details, sensitive personal information or another person's confidential information. You can practise using fictional names and figures.
Why we use it
We use account, conversation and billing information to perform our contract with you: provide AI practice and coaching, remember your progress, deliver purchases and answer support requests. Information needed for those features cannot be omitted while using them.
We use necessary operational records for our legitimate interests in keeping the service reliable, preventing abuse, investigating errors and understanding delivery costs. We retain records where necessary to meet legal obligations, including accounting and resolving legal claims. Optional browser analytics uses your consent, which you can withdraw through Analytics preferences below. Creating an account does not subscribe you to promotional email.
AI processing and your choices
Your messages and the relevant scenario, profile or conversation context are sent through OpenRouter to the selected model provider to generate replies and feedback. Our current configuration uses Anthropic's Claude Sonnet 4.6. Provider routing can involve infrastructure outside the UK, including the United States.
AI output can be wrong. Coaching scores and inferred patterns are training feedback for you, rather than decisions about your employment, credit or legal rights. The app has no tool for contacting your supplier, signing a contract or making a payment on your behalf.
Provider retention and handling can differ from the conversation history saved in your Negotiation Buddy account. See OpenRouter's data-handling information and provider policies. We do not promise that every provider stores data for zero days or that all processing stays in the UK.
Who receives information
- Supabase provides account authentication and database storage.
- Vercel hosts the app and provides optional public-page analytics.
- OpenRouter and the selected AI providers process the context needed to generate AI responses.
- Stripe processes checkout, recurring payments and billing-portal requests. Stripe also processes certain information for its own payment, fraud-prevention and regulatory purposes.
- People authorised to operate the service may access information when needed for support, security or maintenance. We may disclose information where required by law or to establish or defend legal claims.
We do not sell your personal information. These providers may process information outside the UK. Their applicable data-processing terms describe transfer safeguards, including standard contractual clauses and UK transfer addenda where applicable. Contact hello@vedara.me for information about the safeguards relevant to your data.
How long information is kept
We keep your account and saved negotiation content to provide your ongoing practice history and coaching. There is currently no automatic deletion after a fixed period of account inactivity. You can ask us to delete your account or specified content by contacting hello@vedara.me.
When assessing a deletion request, we consider whether records are still needed to deliver an active purchase, meet accounting or other legal obligations, resolve a dispute or investigate abuse. Records no longer needed for those purposes can be removed. Provider backups and security records may remain until their retention cycles expire or any legal retention requirement ends; removal from the active app does not mean immediate removal from every backup. Ask us for the applicable retention information for a particular request.
Cookies, local storage and analytics
Supabase sign-in cookies keep you authenticated. Your browser may also store interface preferences, cached voice-typing assets and your analytics choice. Stripe uses its own technologies during checkout and billing; see Stripe's privacy information.
Optional analytics starts off. If you allow it, Vercel receives public-page visit information with query strings and fragments removed; private account and conversation URLs are excluded. Optional in-app usage events are linked to your account but exclude message text. Turn these off at any time using Analytics preferences. Necessary session, billing and security records continue so the service can work.
Your rights and complaints
Depending on the circumstances, you can request access to, correction or deletion of your personal information, restriction of processing, a portable copy, or object to processing based on legitimate interests. You can withdraw consent without affecting processing that took place before withdrawal. Email hello@vedara.me to exercise these rights; we may need to verify your identity.
You can complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint, by calling 0303 123 1113, or by writing to Wycliffe House, Water Lane, Wilmslow, Cheshire, SK9 5AF.

We will update this page when our practices change and take reasonable steps to explain material changes before they take effect.
